Chronotax respects your privacy and is committed to protect your personal data. As part of our mission to simplify the tax return for our users, it is important to us that you trust us with regard to your personal data and feel comfortable when you use our services. Please take a few minutes to read this Privacy Notice, which applies to your use of services accessible through our website www.chronotax.lu, so that you understand what types of information we collect about you and how and why we use that information. This privacy policy also explains your rights with regard to the processing of your personal data.
Device data
We process your personal data in order to provide you with the best possible service. We collect your personal data either through your voluntary entry or automatically when you visit our website. Certain technical data is automatically collected and transmitted to us via your browser when you visit our website. This information includes data about: Internet browser, operating system, IP address, time of page call, device information, session information and error codes. The information is logged in server log files, which we process to ensure the functionality of the website, to collect statistical information about the use and development of our website as well as for general data security, to analyze errors and for marketing purposes and for general product improvement.
Registration data
During the registration process, we ask you for your email address (which we verify), your name, assign you a chronotax user session, process the time of your registration and your IP address. Your registration data will be stored as long as your user account is still active and will then be kept for a further twelve months. Any legal retention periods remain unaffected.
Personal data
When you use our services, we process first certain basic personal information from you to determine whether our platform supports your tax case. We collect this information by asking you about: full name, relationship status, tax residency, sources of income and other tax-relevant information. Your personal data are processed solely for the purpose of providing our tax filing services and nothing else.
Financial data
After your registration, you will be asked a series of questions via our website to collect the tax-relevant information needed to fill out your tax return digitally. In these questions you will be asked not only basic information such as full name, marital status, address, profession, etc but also data related to your financial situation like your annual salary income, expenses for work materials, income from capital assets etc. Please note that we collect and process those data solely for the purpose of providing our tax filing services and we never share it, under any circumstances, with third parties in exchange for financial gain. Financial information you provide is used to prepare your tax return only.
Sensitive data
Tax-relevant information may also include particularly « sensitive personal data », such as data about your medical expenses, disability costs, any care expenses of your children, information about a trade union membership, maintenance payments to third parties etc. We ask you to provide those kind of information as they are necessary for us to calculate the amount of your tax refund since those costs are used as tax deductions. We do not sell, rent, share or use those data for any lucrative purposes.
Automatic scan
Chronotax provides an automated data scanning feature designed to extract information efficiently from an image or an electronic PDF of a 'certificat de salaire ou pension' significantly reducing the time required compared to manual data entry. To ensure the accuracy of the data extracted, we may engage trusted third-party service providers to process the images on our behalf. These providers are carefully selected for their adherence to stringent data privacy regulations and industry-leading security practices, ensuring your information is handled responsibly and securely.
Stored data
We store your tax data completely encrypted in a database in Europe for a period of 12 months after your account is being inactive. The data is then completely deleted.
Data transfer
We rely on third-party service providers that are essential for hosting and maintaining our services, such as cloud hosting providers or database storage providers. Any such transfer with third parties is encrypted during transmission to ensure your privacy and security. Moreover, we only work with third parties that demonstrate compliance with General Data Protection Regulation and other applicable privacy standards.
Transaction data
In order to receive your filled income tax return generated by our software not signed yet, you may have to pay a one-time filing fee for each filing tax return based on you marital status and if any special tax optimization is requested. For all users, the submission fee (if charged) is payable by card and is handled by our external payment service provider Stripe which will receive your name and bank details to process the payment and notify us once the payment is received. We will not store your payment information, but we will process your transaction data (i.e. when you paid, the payment was processed and what the payment amount was) for ten years for verification purposes because we are obliged under applicable law to store relevant financial and accounting documents and take relevant measures for security and fraud prevention. Further information on Stripe’s data processing can be found in their privacy policy on their website. Please note that we reserve the right to change our payment provider at any time and for any reason. However, these rules will continue to apply to any new company we partner with.
Chat data
Our chatbot uses a third-party service to assist customers with website-related inquiries. Chat data may be processed in the USA by our provider. However, we ensure that chats only include general information, such as website usage, bug fixes, or general tax questions, and do not cover individual tax cases. For security reasons, specific tax matters are handled exclusively via email.
Third-party links
Our website does not contain links to or from partner websites or third parties except Google authentication api and our payment provider. As a result, you will not encounter external pages or services through our platform that require separate data protection notices. Any personal data you provide is handled solely within our website and managed exclusively within our platform, in accordance with our privacy policy.
GDPR compliance
As the provider of tax filing and optimization services, Chronotax is responsible for the processing of your personal data as defined in the General Data Protection Regulation « GDPR ». Under GDPR, you have the following rights: 1-Access: You can request access to the data we hold about you. 2-Correction: You can request corrections to inaccurate or incomplete data. 3-Erasure: You can request deletion of your data, subject to legal and regulatory requirements. 4-Data Portability: You can request a copy of your data in a machine-readable format. 5-Objection: You can object to the processing of your data in certain circumstances.
